Event Filming Checklist for Hong Kong Corporate Events

Most missed shots at an event are planning problems, not camera problems. Run through this checklist before your conference, launch or ceremony so the crew captures what actually matters — and you get usable content fast.

Before the day

Align the crew on what success looks like before anyone arrives.

  • Share the run-down with timings and the 5–8 must-capture moments
  • Flag VIPs, speakers and any sponsor/brand visibility needed
  • Confirm venue access, load-in time and any filming restrictions
  • Decide deliverables up front: highlight length, photos, social cutdowns
  • Set the delivery deadline — same-week and next-day are possible if scoped early

Crew & coverage

Match the crew to the room. A 200-person ballroom is not a boardroom panel.

  • Single camera for a simple talk; multi-camera for stage + audience + reactions
  • Add a photographer if you need stills for PR the same week
  • Plan b-roll: venue, registration, networking, brand signage
  • Confirm a clean audio feed from the venue mixer — never rely on camera mics alone

Audio is where events go wrong

Bad audio ruins otherwise great footage. Get a direct feed from the sound desk, plan for lapel mics on key speakers, and always record a backup track.

After the event

Decide the edit structure before you shoot — a 60–90 second highlight for social, plus full speaker recordings for archive is a common combo. Agree revision rounds so the timeline stays predictable.
